Challenge
Stylists needed to clear aging inventory without creating an unauthorized public storefront or advertising discounts below retail. The workflow also had to keep product claims, customer details, and payment preferences organized across private channels.
Solution
The solution uses private Google Forms as the intake layer, paired with VIP groups, direct email, and SMS. Public posts are limited to event teasers and demonstrations, while private channels collect orders, support mystery bundles, and route custom clearance requests.
Implementation
Process: configure a private Google Form with external access and email collection, then add required contact and fulfillment questions. Organize inventory into sections for solids, glitter designs, nail art, retired sets, and add-ons. Use embedded welcome video, standalone image blocks, or option thumbnails to guide shoppers. Form submissions feed a central Google Sheet for invoicing and follow-up.
Optimization
Acceptance Criteria: external customers can submit a compliant private order form; the Apps Script builder creates a campaign form with contact fields and inventory options connected to the master Sheet; Formfacade or a compatible choice-management tool preserves product thumbnails during inventory updates; and the form places the welcome video first, with contact and fulfillment questions at the end.
